1. Introduction

Core Play Together ("we", "us", "our", "the community") runs a gaming community platform for players based in Australia, including a teammate finder, community forums, event listings, and links out to our associated Discord server. This policy applies to the website located at coreplaytogether.com and describes how we handle personal information in connection with that service.

We are guided by the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) and by good-practice standards recommended by the Office of the Australian Information Commissioner (OAIC). By using our website or joining our community, you agree to the collection and use of information as described in this policy.

2. Information we collect

We try to collect only what we need to run a useful, safe community. Depending on how you interact with us, this can include:

  • Account and profile details — your display name, email address, the games and platforms you play, your general region within Australia, and anything you choose to add to your profile.
  • Contact form submissions — your first and last name, email address, and the content of any message you send us.
  • Community activity — posts in game-discussion boards, event sign-ups, tournament entries, and reports you submit to our moderators.
  • Technical data — IP address, browser and device type, pages visited, and approximate location (derived from IP), collected automatically when you use the site.
  • Voice and chat data — voice lounges and day-to-day chat run through our Discord server, which has its own privacy practices. We do not record or store voice conversations ourselves.

3. How we use your information

We use the information above to:

  • Operate the teammate finder and match you with other members based on game, platform, and availability;
  • Schedule and run game nights, tournaments, and other community events;
  • Respond to messages sent through our contact form;
  • Maintain a safe environment, including investigating reports of harassment, cheating, or other breaches of our Community Guidelines;
  • Understand how the site is used so we can improve it (for example, which pages are popular or where visitors drop off); and
  • Meet our legal obligations, including responding to lawful requests from regulators or law enforcement.

We do not use your personal information to make automated decisions that have a legal or similarly significant effect on you.

4. Cookies and similar technologies

Our website uses cookies and comparable local-storage technologies to keep the site working properly and to understand how it is used. Broadly, we use:

  • Essential cookies, needed for basic functions such as remembering that you closed the mobile menu or submitted the contact form;
  • Analytics cookies, which help us understand aggregate traffic patterns; and
  • Preference cookies, which remember display choices such as reduced-motion settings.

Most browsers let you block or delete cookies through their settings. Blocking essential cookies may stop parts of the site, such as the contact form, from working correctly. When you first visit the site, a banner lets you choose between accepting all cookies or sticking to essential ones only; you can change your mind at any time by clearing your cookies and revisiting the site.

5. Third-party services

Running a community means relying on a small number of outside services, each of which processes data under its own privacy policy:

  • Discord, which hosts our voice lounges, day-to-day chat, and community announcements;
  • Hosting and infrastructure providers, who store the website and its data on our behalf;
  • Analytics providers, who help us measure site traffic in aggregate; and
  • Email delivery services, used to respond to contact form submissions.

We choose providers that we reasonably believe handle data responsibly, but we encourage you to review their own privacy policies, particularly Discord's, since a large part of community interaction happens there.

6. How we share information

We do not sell personal information, and we do not share it with advertisers or data brokers. We may share limited information with:

  • Service providers who help us operate the site (for example, hosting or email delivery), under obligations to protect it;
  • Community moderators, where necessary to investigate a report or enforce our Community Guidelines;
  • Law enforcement or regulators, where we are required to do so by Australian law, or to protect the safety of our members; and
  • A successor organisation, if the community platform were ever transferred or restructured, subject to the same privacy commitments described here.

7. Data retention

We keep personal information for as long as your account is active, plus a reasonable period afterwards to handle disputes, enforce our terms, and meet legal obligations. Contact form submissions are generally retained only as long as needed to resolve your enquiry. You can ask us to delete your data earlier, as described in the "Your rights and choices" section below.

8. Data security

We use reasonable technical and organisational measures — such as encrypted connections, access controls, and limiting who on our team can view personal data — to protect the information we hold. No online service can guarantee perfect security, so we also encourage members to use a strong, unique password and to enable two-factor authentication on their linked Discord account.

9. Children's privacy

Our community is not directed at young children, and we do not knowingly collect personal information from anyone under the age of 13. If you believe a child has provided us with personal information, please contact us using the details below and we will take reasonable steps to remove it.

10. Your rights and choices

Under the Australian Privacy Principles, you can ask us to:

  • Provide access to the personal information we hold about you;
  • Correct information that is inaccurate, out of date, or incomplete;
  • Delete your account and associated personal information, subject to any legal retention requirements; and
  • Explain, in plain terms, how a particular piece of your information has been used.

To exercise any of these rights, contact us using the details in the "Contact us" section. We will respond within a reasonable timeframe and at no cost for standard requests.

11. International data transfers

Some of the service providers we rely on, including hosting and Discord, may store or process information on servers located outside Australia. Where this happens, we take reasonable steps to ensure the recipient handles your information consistently with the protections described in this policy.

12. Changes to this policy

We may update this policy from time to time as our community grows or as our practices change. We will update the "last updated" date at the top of this page whenever we make a material change, and significant updates will also be posted as an announcement within the community.
